Job Designation

The Receptionist supports the day-to-day operations of the front lobby. Coordinate activities and perform receptionist duties, while aligning tasks with the HR team’s goals and business objectives. This is a temp-to-hire position.  

Job Core Responsibilities

  • Answer switchboard phone in a friendly and professional manner, directing calls to appropriate sales representative or department.
  • Greet all visitors and ensure they are cleared to enter the building.
  • Approve and distribute submitted Site Visit Requests and complete Compliance screenings.
  • Maintain Compliance database records and Visitor logbook.
  • Reserve onsite conference rooms.
  • Create a monthly employee birthday list for distribution via email.
  • Update Company phone extension list and Managers’ email group.
  • Maintain flags and ensure they are raised and lowered when requested.
  • Update employee addresses and phone numbers as needed.
  • Sort and distribute mail and packages received.
  • Order flowers or other gift items for employees (bereavement, surgery etc.).
  • Manage sporting tickets for employee raffles. 
  • Maintain the reception area by keeping it clean and organized.
  • Assist with various office support tasks as needed.

Education:

A Secondary Certificate/High School Diploma or equivalent combination of relevant education and work experience that will allow successful performance of job expectations.

Years' Experience:

2 or more years of relevant experience

Skills:

  • Pleasant, reliable, professional appearance.
  • Excellent internal and external customer service skills.
  • Strong attention to detail, good organizational skills, and ability to prioritize with changing situations.
  • Good interpersonal, verbal, and written communication skills to drive tasks to completion.
  • Working knowledge - Microsoft Office; Power Point, Excel, and Access a plus.
